WorkCover Funding and Payment Information
Ballarat Women's Psychology welcomes clients accessing psychological services through WorkCover. To ensure clarity regarding fees, payments and reimbursements, please read the following information carefully.
Payment of Sessions
Unless alternative arrangements have been confirmed in writing by Ballarat Women's Psychology prior to your appointment, clients are required to pay the full session fee on the day of their appointment. A paid receipt will then be provided, which can be submitted to your WorkCover insurer for reimbursement where applicable.
WorkCover Approval
It is the client's responsibility to ensure that:
A valid WorkCover claim is in place.
Psychological treatment has been approved by their WorkCover insurer.
Any required referrals, approvals, or treatment plans have been obtained.
Approval for psychological treatment does not guarantee that all fees will be covered by WorkCover.
WorkCover Fee Schedule
WorkCover sets maximum reimbursement rates for psychological services. These rates are determined by WorkSafe Victoria and may change periodically.
If the WorkCover reimbursement amount is less than Ballarat Women's Psychology's standard session fee, the client will remain responsible for paying any outstanding gap amount.
As WorkSafe Victoria regularly reviews and updates fee schedules, clients are encouraged to check the current fee rates directly through the WorkSafe Victoria website or with their insurer.
Reimbursement Process
After payment has been received:
Ballarat Women's Psychology will provide a paid receipt.
The client is responsible for submitting the receipt to their WorkCover insurer (unless alternative arrangements have been made).
Any reimbursement payable will be processed directly between the insurer and the client.
Ballarat Women's Psychology cannot guarantee reimbursement decisions made by WorkCover insurers.
Outstanding Accounts
Any fees not paid by WorkCover remain the responsibility of the client.
Clients with outstanding accounts may have future appointments postponed or cancelled until payment arrangements have been made.
Cancellation Policy
Our standard cancellation policy applies to all WorkCover clients.
A minimum of 48 hours' notice is required to cancel or reschedule an appointment.
Appointments cancelled with less than 48 hours' notice or non-attendance at an appointment, may incur a cancellation fee. Please note that cancellation fees are generally not covered by WorkCover and will remain the responsibility of the client.
